It's no secret that meetings take up valuable time and energy, but they are a necessary part of doing business. However, with the right tools, you can make your meetings more efficient and productive. In this article, you'll learn how to use ChatGPT to summarize meeting notes, help you identify key decisions, and create the next meeting agenda. Plus, learn a new tool that can simplify and automate your meeting notes.
What is ChatGPT?
ChatGPT is a natural language processing (NLP) platform that enables real-time conversations between users and AI-powered digital assistants. ChatGPT understands user requests, remembers the context of past conversations, and provides personalized answers to each user’s questions.
Most people use ChatGPT to write social media posts, create outlines for blog posts, and even write simple code. I even used it to write a fun poem as part of my daughter's birthday invitation card! There are so many ways to use it to simplify and automate daily tasks even outside of work.
If you're a project manager or freelancer working on multiple projects, you most likely have dozens of meeting each week. According to a Dialpad survey in 2022, remote professionals spend 2-4 hours daily in virtual meetings. This doesn't even include the time you spend preparing the agenda and creating presentations before the meeting.
You also have to spend more time creating action items after the meeting. And if you missed a meeting, you'll still spend time watching the recording or reading the transcript.
So, how can ChatGPT help you save time?
Create a Meeting Summary
The first and easiest way ChatGPT can help is to summarize the transcript of your meeting. You most likely know everything you've said. But when there are multiple attendees, it can be hard to track who said what. You can read the full transcript, but that takes a lot of time!
Did you know that an hour-long meeting can have 8000 to 15,000 words on the transcript? It will take you approximately 20 minutes to read 8000 words!
But not if you're using AI tools like ChatGPT.
Here's how you can summarize your meetings using ChatGPT:
Download the transcript of your video meeting.
Copy and paste the transcript on chatGPT.
Use the command "Summarize the meeting notes."
Click "Enter" to start the chat.
Wait for the response.
Here's a summary of my most recent meeting from ChatGPT:
Using ChatGPT to summarize the transcript of my meetings has been a game changer! It saves me time and reminds me to stay focused on the most important pieces of information.
Help Make Decisions
One of the most common goals of meetings is to make decisions. As a remote team, you usually need to get all the ideas, deliberate the pros and cons, and make the best decisions with the data you have.
During long meetings, however, it can be hard to keep track of which ideas you need to decide on. So, after summarizing the most important points, make sure to identify the decisions that have been made.
You can do the same flow with summarizing the meeting but with a slightly different command.
Paste the transcript on ChatGPT.
Use "identify key decisions in the transcript" and hit "Enter."
Here's what ChatGPT spit out using the same transcript:
It's amazing that ChatGPT was able to identify which topic was unclear! You can play around with the commands, so you can get the best answer based on your needs.
Once you have the decisions, you can turn them into action items! Without action items and clear deadlines, your meetings would have been a meaningless exercise.
Identify Action Items and Agenda for the Next Meeting
So, how can you ask ChatGPT to identify the action items? You guessed it. It's the same process!
Paste the transcript on ChatGPT.
Use "What are the key action items in the meeting?"
Again, you'll want to play around with the words and questions here. For example:
Did [Name of the Attendee] mention what she will send after the call?
Identify the summary of all Notion mentions in the transcript.
Think of ChatGPT as your personal assistant. But an AI is 100% honest! It will tell you if it doesn't know the answer.
Here's ChatGPT's answer when I asked for the potential agenda for the next meeting:
A Better ChatGPT Alternative to Simplify Meeting Summaries
Okay, so you now have unlocked a new AI skill and saved hours each week to keep up with meeting notes.
But as you can see, there is still some manual work involved. You'll have to paste the transcript, ask the right questions, and choose the best answers.
What if all that workflow happens automatically?
