What is AI Companion in Zoom?

If you’re choosing an AI tool for meeting notes, Zoom’s recent changes can be hard to follow. Its built-in assistant was previously called Zoom AI Companion. Following the June 2026 branding change, those capabilities now appear as Zoom AI within Zoom Workplace. They support meeting summaries, transcription, and follow-up tasks.

Zoom’s AI supports Microsoft Teams and Google Meet through a meeting guest or My Notes. My Notes also supports in-person conversations.

What Was Zoom AI Companion?

Zoom AI Companion brought meeting summaries, meeting questions, chat drafting, and call summaries into Zoom’s products. These capabilities remain in Zoom Workplace. ZoomMate is a separate agentic product that builds on Custom AI Companion.

Across its different features, Zoom AI supports:

• Zoom meetings, Zoom Phone, and Zoom Team Chat
• Microsoft Teams and Google Meet
• In-person meetings through My Notes

You can invite Zoom AI to join Teams or Meet as a participant, or transcribe device audio through My Notes.

Inviting Zoom AI requires Zoom Workplace Pro, Pro Plus, Business, Business Plus, Enterprise, or an Education account. My Notes also offers limited Basic access and a standalone paid plan. The sections below explain both options and how to set them up.

💡 Pro tip: Inviting Zoom AI into Teams or Google Meet requires an eligible paid Zoom Workplace plan. Tactiq transcribes both without a paid Zoom plan and includes speaker labels. Teams participants may need to enable identification to display their names.

Meeting summaries and smart recording

Zoom’s Meeting Summary uses speech-to-text data to generate a recap of the discussion. It doesn’t require a meeting recording. The meeting host can start it manually or enable automatic startup in settings.

After the meeting, the summary helps you review key discussion points and next steps. Sharing settings determine which meeting attendees receive it.

Smart recording works separately with cloud recordings. It adds smart chapters, recording highlights, and suggested next steps. These help you review specific moments without watching the entire video.

Cross-platform meeting notes in Microsoft Teams and Google Meet

For meetings outside Zoom, you can choose between two modes:

• Zoom AI joins the call: It appears as a participant, transcribes the discussion, and generates meeting summaries. You can access the summary through your Zoom calendar or web portal.
• My Notes captures device audio: It transcribes your microphone and system audio without joining the call. It can enrich your written notes, which aren’t automatically shared with other meeting attendees.

My Notes doesn’t support third-party meetings in the Zoom Workplace mobile app. Muting yourself in Teams or Meet won’t stop it from transcribing audio detected by your device’s microphone. To stop transcription, use the Pause control inside My Notes.

Agentic AI and cross-app retrieval

AI Companion 3.0 introduced retrieval across Zoom meeting summaries, transcripts, notes, and connected Google Drive and Microsoft OneDrive content. This lets you find relevant information beyond a single meeting.

Zoom Phone also supports AI-generated task recommendations from call summaries and voicemail transcripts when the relevant settings are enabled. You can review these recommendations in Zoom Tasks before accepting them.

Zoom offers free access, a standalone My Notes subscription, and paid plans with broader AI capabilities:

• Zoom Workplace Basic (free): Three hosted meeting summaries, three My Notes uses, and 20 AI queries monthly.
• My Notes - $8.33/user/month annually or $10 monthly: Unlimited AI note-taking added to Workplace Basic.
• Zoom Workplace Pro - $14.16/user/month annually or $16.99 monthly: Includes My Notes and unlimited meeting summaries.

The prices above are in USD. You’ll pay less per month with annual billing, but you’ll pay for the year upfront.

What Does ZoomMate Add to Zoom Workplace?

The paid ZoomMate plan costs $20 per user monthly, or $16.67 per user monthly with annual billing, in USD. It includes 2,200 AI credits per user each month. AI actions and agentic capabilities consume these credits.

How to Access and Enable Zoom AI

Update your Zoom Workplace app before starting. Admins can enable meeting summaries across an account, while users can manage personal settings unless those settings are locked.

To enable meeting summaries for your account:

1. Sign in to the Zoom web portal as an admin.
2. Click your profile picture in the top right, then select Admin Center.
3. Go to Settings > Zoom AI.
4. Under Meeting, enable Meeting summary with AI and confirm.
5. Choose automatic sharing settings and optionally enable Auto-start when meetings start.
6. Click Save.

For personal settings, open your profile menu and select Settings > Zoom AI. Under automatic sharing, choose Only me (meeting host) to prevent summaries from being shared automatically. If a setting is grayed out, contact your admin.

To start or stop meeting summaries during a Zoom meeting:

Hover over the Zoom AI icon in the meeting window’s top-right corner. Select Meeting summary, then click Start Zoom AI.

The meeting host and co-host can start or stop summaries. Other participants can request activation. To stop, uncheck Meeting summary, or select Stop Zoom AI and confirm.

How to use Zoom AI in Microsoft Teams and Google Meet

Use the Zoom Workplace desktop app to set up either method.

Invite Zoom AI as a guest

First, connect your calendar and enable third-party meeting access in your Zoom settings.

1. Open the Calendar tab in the Zoom desktop app.
2. Find your Teams or Google Meet meeting card.
3. Open the AI Companion dropdown and enable Invite AI Companion.

Zoom AI joins as a participant and generates an AI summary afterward. To remove it during the meeting, disable the invitation toggle on the active meeting card.

Use My Notes on your device

1. Open My Notes in the Zoom Workplace desktop app. If hidden, find it under More.
2. Click Create a new note.
3. When prompted, click Continue, then Allow to grant system audio access. Microphone access must also be enabled.
4. Start or join your Teams or Google Meet call.
5. When finished, click Done, then Complete.

For an in-person meeting, follow the same steps without opening Teams or Meet. Your device’s microphone captures the conversation.

Use Pause inside My Notes whenever you need to stop transcription.
